Overview

A record built around the vehicle involved

Different vehicles leave different evidence. A motorcycle slides and gouges the pavement where a sedan leaves crush damage and fluid trails. A tractor-trailer brings a fifth wheel, a load, brake components and onboard records that a passenger car does not have. A bus adds dozens of seating positions. Good documentation starts from knowing what that vehicle type produces and where to look for it.

Delator Claims Division deploys to the roadway, the tow yard, the body shop or the fleet terminal, wherever the vehicle and the scene still exist in their post-loss condition. Each page below describes what is captured for a specific vehicle type, who usually asks for it, and what tends to be disputed later.

How a deployment runs

From request to delivered record

  1. RequestCall dispatch or submit the request form with the location, loss type and urgency.
  2. DeployDispatch assigns the nearest available licensed field investigator through the statewide network.
  3. DocumentPhotographs, video, measurements and factual notes are captured once the scene is safe to work.
  4. PreserveFiles are timestamped, organized and kept in their original form with a record of who captured them.
  5. ReportThe package is delivered securely to the requesting party, typically the same day.
In practice

Scene first, vehicle second, and sometimes the other way round

When a request arrives while vehicles are still on the roadway, the scene is the priority: rest positions, tire marks, debris and fluid trails are cleared within the hour on a busy route. When the request arrives later, the order reverses. The vehicle in the tow yard may be released to a salvage buyer in days, while the roadway geometry will still be there next week.

Dispatch asks where each vehicle is now and how long it will stay there, and sequences the visit accordingly. One assignment can cover the scene and several vehicles held at different locations.

Scope of workDocumentation only

On this assignment Delator field personnel record what is physically present: photographs, video, measurements and factual notes. They do not adjust, appraise or value the loss, do not determine coverage, cause or fault, and do not represent any party to the claim.

Delator Claims Division is not a law firm, an insurer or an engineering firm, and nothing on this page is legal advice.

Questions

Common questions

Can you document a vehicle that has already been towed?

Yes. Field investigators regularly document vehicles at tow yards, body shops, dealerships and fleet terminals, subject to the facility allowing access. The requesting party usually arranges permission; dispatch can confirm hours and release status before the visit.

Do you inspect vehicles mechanically?

No. Documentation records the condition of the vehicle as found: damage, tire and brake condition visible without disassembly, restraints, lamps, interior and identifying numbers. Mechanical teardown and diagnosis are left to the specialist the requesting party selects.

How quickly can someone reach a crash scene?

Dispatch runs around the clock. Average response in metro areas is under 60 minutes, and every Tennessee county is covered by the four-hour statewide deployment guarantee. Scenes on active roadways are documented once it is safe to work.

Who receives the documentation?

The package goes to the party that requested it: a carrier, a third-party administrator, an attorney, a fleet operator or an individual claimant. Delator does not circulate it to anyone else.
